- The stakes
- Every two years, invoices jump from dozens a month to ~1,000 in two months
What was getting in the way
Too much manual work
bundling complex products and travel into invoices across three tools, by hand.
Nothing was visible
invoices slipped through unbilled, and they couldn't tell what clients had paid, so they couldn't pay subcontractors.
It lived in their heads
tracking who could be paid next was exhausting mental juggling that made them slower.
What we built
One integrated system where partners run the whole invoice from a single page.
- A partner portal tying RAMP, Airtable, and QuickBooks together: bundle products, edit costs, see profit, and create or update an invoice.
- Sends QuickBooks invoices by API and auto-calculates commission and sales tax by city.
- Surfaces what needs attention and tracks invoice reminders.
- A separate operating station for the accounting lead, with auto-generated compliance reports.
In practiceInvoice creation went from ~15 minutes to under a minute; ~$15,000 in un-sent invoices surfaced in two months, before the busy season.
